$/hr minimum - $/hr maximum (range increases based on education, experience and certifications)

The Facilities Management Support Specialist (FM Support Specialist) provides administrative support for all facilities management staff and departmental processes as well as associated database management. The FM Support Specialist is assigned a primary function by role. Cross training is managed by the Support Supervisor as required.

Responsibilities

Role Specific Responsibilities

  • Deals discretely with sensitive, confidential information concerning professional affairs, personal performance of staff and confidential information concerning department and/or system affairs, information contained in minutes, letters and other documents.
  • Provides primary support for Manager, Leads, and front-line staff of assigned department. Serves as a back-up for other primary support staff not on duty as assigned.
  • Works independently to publish and distribute scheduled reports, data, and specialty documents.
  • Processes direct and phone que calls in a busy office environment.
  • Dispatches work requests to Facilities Management front line staff based on established procedures. Works directly with Manager and Lead staff when indicated. 
  • Maintains current and complete TJC/IDPH/CMS record documents and reports for assigned areas for inspections and surveys.
  • Maintains applicable data in Equipment Management Program (HEMS) for assigned department. Collaborates with Support Specialist Lead for system-level changes required. 
  • Monitors and maintains assigned database programs based on Level. Generates required and requested reports. Provides training and support to system users.
  • Coordinates and completes special assignments as directed by Support Supervisor.

Qualifications

Education

  • Level I:  High School Diploma or equivalent

Experience and Skills

  • Technical Experience:  Microsoft Office programs and general database knowledge
  • Office experience preferred.
  • Detail-oriented with a critical degree of accuracy regarding data entry and analysis
  • Multi-tasking and organizational skills to prioritize workload in a high energy and fast paced environment
